Plans and billing

The three docEvault plans, what each includes, and how to change plan, add seats, download invoices, or cancel.

Billing is managed from Billing in your account settings, powered by Stripe. You can view your current plan, change plans or billing cycle, add or remove seats, download invoices, and cancel.

What each plan includes

PlanRemindersStorage / uploadsTemplates
Easy StartEmail only100 GB per seat, 100 MB max fileUp to 10
ProfessionalEmail + SMSUnlimited, 1 GB max fileUp to 50
EnterpriseEmail + SMSUnlimited, 1 GB max fileUnlimited

Fillable forms are on every plan. Professional also unlocks e-signatures (including Signature, Initials, and Date Signed fields on a fillable form), Dropbox, Box and Google Drive sync, sending documents to Clio, Zapier, white-label branding and scheduling a request to send on a later date. A free trial includes e-signatures whichever plan you picked. Enterprise adds volume pricing and custom terms — contact support@docevault.com to discuss it.

Seats

docEvault is priced per seat. Add or remove seats at any time; changes are prorated automatically, so you're not charged a full month for a seat you added on the 28th. Removing a seat gives you account credit for the unused time rather than a refund (see Account credit below).

When you add a seat, the new member gets an email with a link to set their own password. The link expires after 48 hours; if it expires or the email doesn't arrive, choose Resend Invite from the menu next to their name on the Team page. Nobody else is ever given a password for their account.

Each seat allows one active session at a time, so buy a seat per person rather than sharing.

Billing cycle

You can pay monthly or annually, and annual is cheaper per seat. Switch between them from Billing. Before anything changes, docEvault shows you exactly what the switch will charge or credit, and asks you to confirm.

Switching takes effect right away:

  • Monthly to annual charges your card today for the rest of the year, less the unused part of your current month. Any account credit you have is used first.
  • Annual to monthly doesn't refund your card. The unused part of your year becomes account credit, which pays your monthly invoices automatically until it runs out.

Account credit

Removing seats or downgrading your plan works the same way as switching to monthly: the unused part of what you paid becomes account credit for future invoices, not a refund. Account credit has no cash value, isn't transferable, and is forfeited if you cancel your subscription or close your account. The full rule is in section 4 of the Terms of Service.

Sales tax

Prices on this page and on the pricing page don't include sales tax. Where we're required to collect it, Stripe works out the amount from your billing address, shows it at checkout, and lists it as a separate line on your invoices. Checkout asks for your billing address for this reason. If your billing address changes, update it from Manage Billing so future invoices use the right rate.

Your trial

New organizations get a 14-day free trial, with no credit card needed. When it ends without a subscription, the organization becomes read-only until you subscribe. Firms that docEvault sets up directly may get a complimentary period instead; the invitation email says how long it lasts.

If your organization is on a free trial and hasn't subscribed, docEvault emails your admins three days before the trial ends and again on the day it ends, at your firm's send time.

At checkout, Stripe shows how your subscription renews (the amount, monthly or yearly, when your card is first charged, and how to cancel) and asks you to agree to the Terms of Service before you pay.

If your organization has a free trial that is still running when you subscribe, you keep the rest of it: your card is saved right away but isn't charged until the trial would have ended. Billing shows that date as First Charge, and you can cancel before then without being charged.

A free trial that hasn't subscribed yet has three limits: up to 15 e-signature requests over the whole trial, up to 50 emails to clients a day (reminders, form and signing invitations), and up to 25 text messages a day. Once a day's emails or texts are used up, further ones that day aren't sent; send again the next day. All three limits go away the moment you subscribe, even if the trial hasn't ended yet.

If a payment fails

If a card payment fails, your team keeps working for 7 days from the first failure while Stripe retries the payment automatically. The account owner gets one email with a link to pay the invoice, the sidebar shows Payment Issue, and Billing shows a red banner with the date the 7 days end.

To fix it, choose Update Card on that banner (or Fix in the sidebar, which takes you there) and add a new card in Stripe's billing page. Stripe charges the unpaid invoice to the new card straight away. Paying from the link in the email works too. Either way, the card you pay with becomes the one used for future renewals. Don't subscribe again to fix a failed payment: your subscription is still in place, and docEvault won't start a second one while it is unpaid. Changing plan or billing cycle also waits until the card is fixed, since either could charge the card that is failing.

If the 7 days pass without a successful payment, your team can still view and export everything, but can't create requests or send reminders until the payment goes through.

Cancelling

Cancel from Billing. Your team keeps access until the end of the period you've paid for, and Reactivate on the Billing page undoes the cancellation until then. Once the subscription has ended, Billing marks your old plan Previous Plan; choose Subscribe to on the plan you want to subscribe again. If you're cancelling because something isn't working, email support@docevault.com first — most cancellations we hear about turn out to be a setting.

Didn't find what you needed? Email support@docevault.com with your organization name and, if it's about a specific request or contact, which one.
