Send approved documents from docEvault straight into a client's matter in Clio Manage. You pick the matter and folder each time, and the file goes in under your own Clio account. Clio is part of the Professional and Enterprise plans. For everything docEvault connects to, see Integrations.
Turning Clio on
An admin turns Clio on for the firm under Integrations › Practice Management with Turn On Clio. Until then, nobody at the firm can send to Clio. Turn Off stops all sending, but everyone keeps their connection, so turning it back on needs nobody to reconnect.
Connecting your own Clio account
Clio records who uploaded every document, so each person connects their own Clio account. Nobody connects on the firm's behalf. Under Integrations › Practice Management, click Connect My Clio Account, sign in to Clio and approve docEvault. You need your own Clio login to do this.
docEvault asks Clio for access to read your contacts and matters and to add documents. It uses your account only when you send something, and only for what Clio already lets you see: if a matter is hidden from you in Clio, you won't find it in docEvault either.
Admins can see who on the team has connected under Team on the same card.
docEvault currently connects to Clio accounts in Clio's US region. Firms on Clio's EU, Canada or Australia servers can't connect yet.
Sending files to Clio
Only approved files can be sent.
- One file. Open the ⋯ menu on an approved file and choose Send to Clio. Once it's there, the item reads Send to Clio Again.
- Several files. Tick the files you want and click Send All to Clio, next to Download Zip. Only the approved files in your selection are sent, and the button's count shows how many that is.
Nothing is sent automatically when you approve a file. Every send is one you choose.
Choosing the matter and folder
- Find the matter. Search by matter number, description or client name. The box starts with the contact's name. Or use Browse by Client to pick the client first, then one of their open or pending matters.
- Choose the folder. Pick Top of Matter, or open a folder (and the folders inside it) to file deeper. The path at the top shows where you are, and you can click any part of it to go back up. + New Folder Here creates a folder where you are.
- Click Send Here.
The next time you send from the same request, the picker opens on the same matter and folder, so it's one click. On a new request for the same client, it opens on that client's matters but never picks a matter or folder for you.
Combining files into one PDF
When you send several files, you can tick Combine into one PDF and edit its name. The files become one document in Clio, in checklist order. PDFs keep their pages, and JPG and PNG photos become a page each. If any file can't be combined, such as a Word document or an iPhone HEIC photo, nothing is sent and docEvault tells you which files to leave out.
Sending a file again
Sending a file again to the same folder adds a new version of the same Clio document, so Clio keeps the earlier one in its history. Sending it somewhere else creates a separate copy. The picker warns you which will happen before you send. A combined PDF is always a new document.
Checking that a file arrived
Each file shows in Clio, in Clio as part of a combined PDF, or Clio filing failed next to its size and upload time. Hover over it to see where it went or what went wrong. While a batch is sending, you'll see its progress, then a summary of what was sent and what failed. Use Send to Clio on a failed file to try again.
Every send also appears in the request's Activity feed: what was sent, where it went in Clio, whether it was a new version or a combined PDF, any file that failed, and who sent it. Your client doesn't see these entries.
If your connection stops working
If docEvault can no longer reach your Clio account, for example because docEvault was removed from your connected apps in Clio, the Clio card shows Needs reconnecting and a Reconnect button. Sending tells you the same thing. Reconnect and send again.
Disconnecting
Disconnect on the Clio card removes docEvault's access on Clio's side too. Documents already in Clio stay there, under your name. If Clio doesn't confirm the disconnect, docEvault tells you, and you can remove docEvault yourself from the connected apps in your Clio settings.
When an admin removes someone from the team, docEvault ends that person's Clio access too.
On the Easy Start plan
Easy Start can't use Clio. If your firm moves to Easy Start, Send to Clio disappears, but everyone can still disconnect.
Encrypted organizations
Clio isn't available for organizations with zero-knowledge encryption turned on. docEvault's server sends the file to Clio, and with encryption on it can't read your files.
