As documents come in, each checklist item moves through a status. The status is what drives everything else: which items still get chased by reminders, and when the request counts as finished.
The statuses
| Status | Meaning | Blocks completion? |
|---|---|---|
| Requested | Nothing uploaded yet. | Yes |
| Under Review | Uploaded, waiting on you to check it. | Yes |
| Approved | You've accepted the document. | No |
| Needs Revision | You've rejected it. The contact is notified to re-upload. | Yes |
| N/A | Marked not applicable. | No |
How a request completes
When every item is either Approved or N/A, the request is automatically marked complete and your contact gets a completion notice. You don't mark it done yourself.
This is why Needs Revision matters: rejecting a file reopens that item, so the request goes back to incomplete and reminders resume for it.
What reminders chase
Reminders follow up on items that are still outstanding. An item sitting in Under Review is waiting on you, not on your contact, so leaving files unreviewed is the most common reason a request stalls without anyone noticing.
