Reminders and message sequences

How docEvault chases contacts for you — the four moments in a sequence, how to change the wording, and how to send a one-off nudge.

docEvault automatically follows up with contacts so you don't have to chase them manually. This is the feature that does the most work for you, and it's worth setting up properly once.

The default sequence

Every organization starts with a Default message sequence covering four moments:

  1. The initial request, sent when you send the request.
  2. Ongoing reminders, while items are still outstanding.
  3. When a document needs attention from them — for example after you reject a file.
  4. Completion, when everything is approved.

Each moment has both an email and an SMS version.

Scheduling

Reminders are sent on a schedule you control — every day, every two days, and so on — until the request is complete. Reminders stop by themselves when the request finishes; you don't have to turn them off.

Bear in mind what reminders actually chase: items still waiting on your contact. An item sitting in Under Review is waiting on you, so it won't be nudged. See Document statuses.

Customising

Customise the wording of any step, or build additional sequences for different situations, under Message Sequences. Different sequences are useful when the tone should differ — a first-time client and a long-standing corporate contact don't need the same follow-up.

One-off reminders

Send a one-off reminder manually at any time from a request's detail page if you don't want to wait for the next scheduled send.

Texting

SMS reminders are a Professional feature and need more than just a phone number on the contact record — your firm has to be verified with the carriers first, and the contact has to have consented. See SMS reminders and consent.
